This policy explains how Silk Web Solutions handles personal information when you use our website, DNS services, GameCore and other services that expressly link to this policy.
Email Support@silk-websolutions.eu to ask about your data, request a copy or request deletion. Please do not send passwords, API keys or authentication tokens.
1. Who is responsible
Silk Web Solutions is independently operated by an individual based in the United Kingdom. “We”, “us” and “our” mean the operator of Silk Web Solutions, who can be contacted at Support@silk-websolutions.eu.
We determine how account, security and support information is used. When a customer or server administrator supplies content for a service, they may determine why that content is processed, and we process it to provide their requested service. You may contact us about either type of information.
2. Services covered
This policy covers silk-websolutions.eu and the Silk Web Solutions services that link here, including DNS management and GameCore. Message Scheduler has a separate privacy policy describing its Discord bot and dashboard.
A new service may need an additional notice describing its particular data use. We will update or supplement this policy when that use changes; this policy does not authorise unspecified uses of your data by future services.
3. Information we receive
- Accounts and access: usernames, contact details you supply, account roles, password hashes for local password accounts, authentication tokens and account activity.
- Linked services: identifiers and profile or permission information provided by an integration you choose, such as a Discord account. The connection and its requested permissions determine what is available.
- DNS: domain names, record names and values, submitted changes, publication history and administrative audit information. DNS record values may themselves contain personal information.
- GameCore: account and permission information, managed server settings, files or content you supply, and operational or activity logs used by the enabled features. Game-server content may include player identifiers or connection information where the server records it.
- Support: your email address, correspondence and details you choose to include in a request.
- Technical records: IP addresses, request times, browser or client information, errors, authentication attempts and service activity recorded for operation and security.
Information comes from you, authorised administrators, your browser or client, and connected services you enable. We do not need your Discord password; Discord sign-in takes place through Discord.
4. Why we use information
- Provide requested services: create and manage accounts, apply permissions, publish DNS changes and run the GameCore features you select. The basis is performance of a contract or steps you request before a contract; where you act for an organisation, our legitimate interest is providing its requested service.
- Operate and protect services: investigate faults, prevent abuse, maintain audit records and recover accounts. The basis is our legitimate interest in running reliable and secure services, balanced against your privacy interests.
- Answer support requests: respond to and resolve requests. The basis is providing the requested service or our legitimate interest in answering enquiries.
- Meet legal requirements: comply with applicable obligations or establish, exercise or defend legal claims where necessary.
- Optional uses requiring consent: obtain consent before any use that legally requires it. You may withdraw that consent without affecting earlier lawful processing.
Information necessary for authentication or a feature must be provided for that feature to work. Optional integrations and optional content are your choice. We do not use these services to make solely automated decisions producing legal or similarly significant effects about you; automatic security checks may limit access.
5. Public records and sharing
Published DNS records are public. Anyone can query them, and other providers may cache or copy them. Removing a record from our system does not immediately remove copies elsewhere. Do not put passwords, private keys or information you do not intend to publish in DNS records.
Authorised administrators may see the accounts, settings, records and activity needed to manage their service. Content you publish or share is visible to its intended recipients; a public link or a game-server setting may make it available more widely.
We share information with providers needed to deliver a selected service, such as infrastructure providers, connected platforms and email providers when replying to you. We may disclose necessary information where required by law or to protect rights and investigate abuse. We do not sell personal information or use Discord API data for targeted advertising.
Connected platforms process information under their own policies, including Discord’s Privacy Policy. You should review an integration’s permissions before enabling it.
6. Storage and international processing
Our infrastructure includes servers in France, Canada and the United Kingdom. Storage and replication depend on the service: public DNS records can be replicated between nameservers, while application accounts and operational records are held by the relevant application. Infrastructure and platform providers may also process information in their own locations.
Where an international transfer of personal information requires protection under UK data protection law, we must use an applicable adequacy arrangement or another lawful safeguard. Contact us for information about the destinations and safeguards applicable to your service. A server’s location alone does not establish a transfer safeguard.
7. How long we keep information
Retention depends on the purpose rather than one fixed period for every service:
- Account and integration information is kept while the account or connection is needed to provide an authorised service.
- DNS records, server configuration and customer content are kept while they are managed by the service, until replaced or deleted, or until the service ends. Necessary revision and audit history may remain for security, recovery or resolving disputes.
- Technical and support records are kept only while needed to diagnose issues, protect the service, address an ongoing request or meet a legal obligation.
- Backup copies are retained for recovery. When deletion is required, copies must be removed or expire through backup replacement; they must not be returned to normal use, and deletion must be reapplied if a backup is restored.
You can request deletion or ask about the retention criteria for a specific record. Any retention exception must have a continuing lawful purpose; information must not be kept indefinitely merely because it might be useful.
8. Cookies and browser storage
The public information and legal pages published here do not include advertising or analytics scripts. Services with sign-in may use session cookies, authentication storage or browser preferences required for their features. You can clear site data or control storage through your browser. Doing so may sign you out or reset preferences. Any non-essential storage that requires consent must be offered with an appropriate choice before it is used.
9. Your choices and rights
Depending on the applicable law and the processing involved, you may ask for access, correction, deletion, restriction or a portable copy of information you provided. You may withdraw consent where we rely on it.
You may object to processing based on legitimate interests. Tell us which processing you object to and your circumstances so we can assess your request.
Contact Support@silk-websolutions.eu with your account or service identifier and the action requested. We may need proportionate identity verification before releasing or changing personal information. We respond within the period required by applicable law, usually one month under UK data protection law, with any permitted extension explained.
You may also complain to the UK Information Commissioner’s Office or your relevant local data protection authority. You do not have to contact us first to use that right.
10. Security and younger users
We use access controls and service security measures appropriate to the information involved. No service can guarantee absolute security. Contact us if you believe information has been exposed or an account misused.
These services are not intended for children under 13. Users of connected platforms must also meet those platforms’ minimum age for their country. Where parental permission is legally required, it must be obtained. Contact us if you believe a child’s information has been provided inappropriately.
11. Changes and contact
We update this policy when relevant services or data practices change. The date above identifies the current version. Material changes affecting existing users will be communicated through the affected service or another appropriate channel.
